Need a Sub / Sick Leave

Read the following to help navigate sick leave and acquiring a substitute for absences from class(es).

Anytime You Miss Class

IF YOU WILL NOT BE IN A CLASS WHEN YOU ARE SCHEDULED TO BE IN CLASS

You’re sick! Your dog is sick! Your kid is sick! You missed the bus! You’re at a fantastic conference! You’re at a terrible conference! You can’t make it for any reason

THEN YOU SHOULD

Find a substitute to cover your classes. You will need to contact your department to find a sub. When that is not possible, try to provide an alternate assignment. If you are unable to find a sub or provide an alternate assignment, you will need to cancel your class.
- Any approved sub may proctor exams or show films, but in order to cover class content, a substitute must be credentialed to teach in that area.
Notify your students through Canvas. Here's a guide on how to notify your students through Canvas.
Send an email to classcancellations@coconino.edu to notify your supervisor and relevant support staff.
- Include details of the course you will be missing (ex. ENG 100-04, CRN 12345, MW, Fourth Street Campus, 10am - 11:15am, room C3)
Complete and digitally sign the Faculty Sub and Leave Form which will automatically route to your supervisor and to Payroll.
- You must take leave anytime you miss an in-person or videoconference class. You must take leave if you are unable to work on fully online classes for more than a week.

Frequently Asked Questions

Do I have to do this process if I gave students an alternate assignment through Canvas?

Yes. Any time you are not in class when you are scheduled to be, you need to follow this process.

Will someone be calling my students for me?

It is the instructor’s responsibility to notify students through Canvas. Support staff will, whenever possible, post a sign to the classroom door for in-person classes.

How do I set up alerts in Canvas? How do I help my students to do this?

Please call, email, or stop by the TLC with help managing alerts in Canvas.

How much time do I need to give to cancel a class?

Try to give your students at least 3 hours' notice for a cancelled class. Many of our students are driving a long way to get to campus.

What if I’m not sick, what type of leave do I use?

If you are a part-time faculty member, please use sick leave for any absence. If you are a full-time faculty member, you are eligible for other types of leave at the College. Please refer to CCC Procedure 410-04 for more information, as well as Procedures 410-01 through 410-12.

What if I am traveling on official College business?

Follow the above procedure. We still need to know if you won’t be in class when regularly scheduled. The Leave form allows you to indicate that you missed class for a CCC related event so that your leave balances are not docked.
